Description

The client is seeking a Document Controller to support the management of documentation associated with marine operations, vessel activities, and project delivery. The role focuses on document control, records management, and coordination with stakeholders to ensure critical information is organized, secure, compliant, and readily available to support operational efficiency, regulatory requirements, and client deliverables.

Key responsibilities include maintaining and administering document control systems, filing structures, and digital document repositories; ensuring document accuracy, version control, naming conventions, traceability, retention, and archival requirements; and uploading, tracking, organizing, and archiving project, operational, and corporate documentation as audit-ready records. The role also supports project teams with document preparation and timely submission of deliverables, coordinates with vessel crews and internal technical and project personnel to maintain complete and up-to-date documentation, and helps prepare client documentation packages for relevant partners and submissions.

The client expects candidates to have a diploma or degree in a relevant field such as business administration, office administration, information management, or a related discipline, along with 3–5 years of experience in document control, administration, or project support. Experience administering document repositories and document management processes is required, and familiarity with configuring and maintaining repository structures, permissions, and workflows is considered a strong asset; experience in technical, marine, engineering, or other regulated environments is also an asset. The role may include supporting digitization and migration of historical records, providing guidance on document control procedures and templates, and identifying process improvements to enhance document management workflows, metadata structures, and records management tools.
